Responsible and Secure Use of Artificial Intelligence (AI) Tools
Jacksonville University is committed to the responsible, ethical, and secure use of Artificial Intelligence (AI) technologies in support of teaching, learning, research, and administrative operations.
Microsoft Copilot is the University's approved AI platform due to its enterprise security, privacy protections, and integration with Jacksonville University's Microsoft 365 environment. Users are encouraged to utilize Copilot whenever institutional information, academic content, or University-related work is involved.
When using AI tools that are not officially approved by Jacksonville University, users must exercise caution and comply with all applicable University policies, legal requirements, and data protection standards. Under no circumstances should users upload, share, or disclose:
1. Student records or personally identifiable student information protected under FERPA
2. Employee personnel information or confidential HR records
3. Protected health information (PHI)
4. Confidential, proprietary, or sensitive University data
5. Copyrighted materials unless the user has explicit authorization to share such content
6. Research data, intellectual property, or unpublished scholarly work that requires protection
7. Credentials, passwords, security-related information, or other restricted data
Users are responsible for reviewing the terms of service, privacy policies, and data handling practices of any third-party AI platform they choose to use. Input provided to external AI systems may be stored, used for model training, or otherwise processed outside the University's control.
Jacksonville University assumes no responsibility for the privacy, security, accuracy, or retention of information entered into non-approved AI platforms. By using external AI tools, users acknowledge and accept the associated risks and agree to comply with all University technology, privacy, security, and intellectual property policies.
When in doubt, use Microsoft Copilot and consult Information Technology Services before entering sensitive or restricted information into any AI application.
